How to receive exhibitors at exhibitions

The exhibition organization shall receive the exhibitors at the specified time and the specified place. The exhibition organization shall pay attention to the following matters when receiving the exhibitors' check-in: (1) the choice of the check-in place. Most of the exhibitors choose to check in at the exhibition venue, and a few choose to check in at the hotel or the office of the organization. If you choose to check in at the exhibition venue, the check-in area should be arranged at the main entrance of the exhibition venue, such as the main entrance, or the lobby of the prelude hall, and the location is obvious, and it is more convenient for people to go to and from the venue and evacuate the venue. Many exhibition venues, especially large exhibition venues, generally have a fixed location for exhibition organizations to receive exhibitors to report. For example, Shanghai International Convention and Exhibition Center located in Pudong, Shanghai, has a place for exhibitors to report in the prelude hall, and is equipped with office furniture suitable for reception work. Whether it is the place assigned by the exhibition venue or the place temporarily arranged by the exhibition organizing organization in the exhibition venue, the exhibition organizing organization shall make good preparations for the reception before the start of the exhibition check-in work. Among them, the location temporarily arranged by the exhibition organization in the exhibition venue generally needs to build the reception check-in facilities. The usual practice is to set up standard booths. (2) Setting up a place to receive exhibitors. When building a place to receive exhibitors' check-in on the site of the exhibition hall, the following issues should be noted in general: The place to be built should be in the place where exhibitors and exhibition personnel must pass through to enter and exit the exhibition hall, and it should not be too far away from the entrance and exit of the exhibition hall. Because there are security guards at the entrance and exit to prevent unruly people from entering the exhibition hall, or to prevent the goods in the hall from being taken out in violation of the law. Therefore, at the entrance and exit of the exhibition venue, the security personnel on duty will often have some conflicts with the exhibitors and exhibition personnel. As the place for reception and check-in and the entrance and exit of the exhibition venue are closer to each other, it is easy to solve the conflicts in time. The size of the standard booth should be determined according to the needs of the reception work and the location provided by the exhibition venue. After building a standard booth, a reception desk should be set up at the opening of the booth. The fascia board on the booth should be clearly marked with the words "Exhibitors' Reception" or "Exhibitors' Check-in", so as to facilitate the exhibitors to see easily. Exhibitors shall be informed of the location of the exhibitors' check-in through the exhibition service guide and the floor plan of the booth. (3) Work content and process of reception and check-in. According to the provisions of the Exhibition Service Guide, after checking the identity of the customer according to the signed exhibition contract and verifying the payment of the exhibition fee according to the voucher of the exhibition fee, the exhibitor shall issue the exhibition card, the exhibition card and the relevant information to the customer, and at the same time, accept the consultation of the customer. If the customer has not yet paid the exhibition fee or has not paid the full amount of the exhibition fee, the customer shall be asked to pay the exhibition fee on site before going through the check-in procedures. (4) Reception of check-in staff The staff of customer service, booth sales and financial department of the exhibition organization shall jointly form a special team for reception work, and shall be specifically responsible for the reception of the exhibitors according to different divisions of work.
