The case file directory is an index to each case file, and the file directory is an index to the contents of the case file.
1. Full citation catalog of case files
File catalog, also known as "full citation catalog", is a new file retrieval tool developed based on the file catalog. It takes the entire file as Scope, all files in the entire file as the search level, reflects the order of the archive entities in the entire file.
2. Archive file directory
The paper size used in the archive file directory is A4 (length 297 mm, width 210 mm).
The archive file directory should be bound to the volume and the cover should be prepared. The full name, year, shelf life, organization (issue) and other items can be set on the cover of the archive file directory as needed (see Figure A3). Among them, the full name is the name of the filing unit. When filling in, you should use your full name or standard abbreviation.
The archive directory should be compiled according to the classification scheme and room number sequence.
Submitted documents should be cataloged one by one. When correspondence and replies are treated as one, only replies are cataloged. The archive file directory sets items such as part quantity, person in charge, number, title, date, page number, comments, etc.
(1) Part number: fill in the room number.
(2) Responsible person: The organization or individual who produces and issues the document, that is, the issuing agency or signatory of the document.
(3) Number: the number of the document to be published.
(4) Title: the title of the file. If there is no title or the title is not standardized, the title can be made by yourself and add a "[1]".
(5) Date: The date of preparation of the document, marked with 8 digits in Arabic numerals, such as 1990-909.
(6) Page: The page of each file. A page in a document with pictures and text is one page.
(7) Note: Situations that need to be explained in the comment document.
Directory quality requirements
1. The filing documents should be complete and complete. If the handwriting is blurry or changeable, the damaged document should be repaired and copied.
2. The written materials, paper and binding materials used in the filing documents should comply with the requirements for archive protection.
