Employee health occupational file is to check and evaluate the health status of employees, prevent possible diseases in the future, and reduce the risk of occupational diseases. Helping employers and employees to prevent diseases as soon as possible will help employees and employers to take necessary health protection measures as soon as possible. Employers have the obligation to establish occupational health examination files for employees. In addition, the employer also has the responsibility of sending special personnel to keep the occupational health monitoring files of employees. The employing unit shall properly keep the employee health monitoring files according to law, strictly restrict borrowing, and protect the privacy and related information of employees. The employer may also formulate relevant regulations and negotiate with the employees to personally keep the occupational health monitoring files of the employees.
Archivists must protect workers' right to occupational health, privacy and confidentiality. Relevant health supervision and inspection personnel, workers and their close relatives, and workers' main agents have the right to consult and copy workers' occupational health monitoring files. Without permission, other personnel shall not consult the occupational health monitoring files. When employees leave the unit, they have the right to ask for copies of health monitoring files, and the file managers should provide them truthfully and free of charge, and sign the copies provided.
To sum up, the employer shall establish a corresponding management system, and a special person shall be responsible for the preservation of occupational health monitoring files. And according to the principle of confidentiality of medical records, protect the privacy of employees. The employing unit shall not allow unauthorized personnel to borrow and copy files, and shall properly handle borrowing registration and copying records.
