Official letters generally consist of ten parts:

1. Numbers

In order to facilitate sorting, saving and checking, official letters need to be numbered and written in the upper left corner of the envelope.

2. The author's address

The address of the writer must be written in the upper right corner of the stationery, which can be written in Chinese or English.

3. Name, title and address of the recipient

(a) the name of the recipient should be written under the serial number, but not higher than the address of the writer. Write the name first, and there must be a title after the name.

Write the title of the recipient under the name of the recipient,

For example:

(b) If you don't know the name of the person in charge of the organization,

4. Address:

(a) Write the address of the recipient at the beginning of the text, followed by a colon ":"without spaces.

(b) You can use a common address, such as "Mr. Wang" or add "Manager Wang" after your surname. You can also use the name "Mr. Manager".

(c) Self-declaration: You can use me, myself, our school, our association, our college, our department and our bureau.

Address each other: you, your company, your school and your team.

5. Title

(a) In order to facilitate rapid processing and classified storage, the title of the official letter should be.

(b) The title should be written in the center under the title, and a horizontal line must be drawn under the title;

6. Text

Text can be in any of the following formats.

(a) Blank format, with two spaces at the beginning of each paragraph.

(b) End to end, with each paragraph underlined.

The text is the main part of the official letter, which requires clear and concise narration. Sometimes in order to facilitate reading, ordinal numbers can be added according to the nature of the content.

7. Signature

(a) Write it in the lower right corner of the text.

(b) If the author has a professional title, it must be clearly written.

(c) After signing, the word "Kai" is generally used. In order to show prudence, you can use "sincerity" or "sincerity" to show respect.

8. Date

Write it under the numbers, usually in Chinese or Arabic. For example:

9. Copy

Some official letters need to be checked by relevant parties, so write down the individuals or groups who send the copy. Generally written in the lower left of the official letter. For example: copywriter: public relations staff

If other documents are attached to the official letter, they must be listed in the lower left corner.
